MSDS/SDS report processing procedure

Date:2026-02-27 09:41:54 Classification :【question】 Visits:
For the processing of MSDS/SDS reports for chemicals, the following are detailed guidelines on definitions, scope of application, required information, and processing procedures:

What is MSDS/SDS report?

MSDS (Material Safety Data Sheet) refers to the Material Safety Data Sheet, also known as the Chemical Safety Data Sheet. In European and international standards (ISO), it is commonly referred to as SDS (Safety Data Sheet). It is a comprehensive legal document that elaborates on the physical and chemical properties of chemicals, their hazards to health and the environment, as well as measures for safe handling, storage, transportation, and emergency response. The standard MSDS contains 16 fixed items.

2. Which products need to be processed?

Not only do hazardous chemicals need to be processed, but many ordinary consumer goods also require MSDS if they contain specific chemical components:

Chemicals and related products: paints, coatings, adhesives, solvents, cleaning agents, pesticides, fertilizers, etc.

Batteries and battery packs: lithium batteries, dry batteries, rechargeable batteries, etc. (transportation safety critical documents).

Food and food additives: Used to describe chemical composition and potential hazards.

Other products: toys, textiles, plastic products, mechanical equipment components (if containing oil or chemical agents), food contact materials (such as LDPE, SiO2, alloy materials), etc.

3. Required documents for processing

Applying for an MSDS report requires providing detailed product information to the testing agency, mainly including:

Basic product information: product name, model, purpose, physical state (solid/liquid/gas), color, odor, etc.

Ingredient information: complete ingredient list, percentage content of each ingredient, Chemical Abstracts Service registration number (CAS number). Note: The ingredient information needs to be true and accurate, which is the core of preparing the report. *

Physical and chemical properties: melting point, boiling point, flash point, density, solubility, pH value, etc. (please provide laboratory data if available).

Enterprise Information: Manufacturer/Applicant Name, Address, Contact Information, Emergency Contact Phone Number.

Target market: Export countries or regions (such as the European Union, the United States, and China) to comply with local regulations (such as EU REACH, US OSHA, and China GB/T 16483).

4. Handling process

Step 1: Data Collection and Application

Fill out the application form, specify the product type, target market, and report language (Chinese/English), and submit the required information.

Step 2: Classification and Evaluation of Chemicals

Institutions classify chemicals based on GHS (Globally Harmonized System of Classification and Labelling of Chemicals) and target country regulations (such as flammable, toxic, corrosive, etc.) and assess their hazards.

Step 3: Report Preparation

According to the standard format, prepare a report containing 16 items, including product identification, hazard identification, ingredient/composition information, first aid measures, fire protection measures, emergency response to leaks, operation and storage, contact control/personal protection, physical and chemical properties, stability and reactivity, toxicology information, ecology information, waste disposal, transportation information, regulatory information, and other information.

Step 4: Review and Issuance

After the report is reviewed and confirmed to be compliant by professional engineers, a formal MSDS/SDS report (electronic or paper version) will be issued. The processing cycle is usually 3-5 working days.

5. Precautions

Regulatory adaptability: Different countries have different requirements for SDS (such as language and regulatory versions), which need to be addressed in a targeted manner.

Update obligation: When the product formula changes, regulations are updated, or new hazards are discovered, MSDS needs to be updated in a timely manner.

Non testing report: MSDS is mainly a manual compiled based on existing data, which is different from the quality inspection report that must be tested on the machine. However, if key physical and chemical data is lacking, laboratory testing may be required to obtain the data.
